INTRODUCTION
Purchase request management is a critical process that enables organizations to streamline purchasing activities and control procurement costs. With the increasing complexity of supply chains and global business operations, organizations are adopting digital technologies to automate and optimize their purchase request management processes. The Power Platform is a powerful suite of business applications and services from Microsoft that enables organizations to build and deploy custom solutions for various business processes, including purchase request management. In this article, we will provide an overview of the Power Platform solution for purchase request management, its key components, and benefits it provides.
The proposed solution for purchase request management is a customizable and scalable solution that enables the organization to automate and optimize its purchase request management processes. The solution is built on the Power Platform, which is a low-code/no-code platform for building custom business applications. The solution consists of the following key components.
In oilfield service companies like the client company Schlumberger, purchasing requests are a critical aspect of managing operations. However, traditional processes for managing purchase requests are often fragmented, leading to inefficiencies and delays. In this diploma project, we propose a Power Platform solution for creating, assigning, and analyzing purchase requests. The solution is designed to optimize the process of handling purchase requests by centralizing the workflow and automating key steps, resulting in faster and more accurate request handling.
The solution harnesses the power of Microsoft Power Apps, Power Automate, and Power BI to create a highly configurable and scalable platform that can adapt to the unique needs of client. It begins with the creation of a simple and user-friendly interface for submitting and managing purchase requests. Users can submit requests
by filling out a form that captures all relevant data, including the product or service required, the quantity, the preferred supplier, and delivery date.
The platform then automates the routing of the request to the appropriate approver, based on pre-defined workflows and business rules. Approvers receive notifications via email or in-app, with direct links to the request details. They can then review the request and approve or reject it, with the option to add comments or request additional information. The platform also includes a detailed audit trail of all activities related to the request, providing full transparency and accountability throughout the entire process.
Finally, the Power BI component of the solution provides powerful analytical tools for monitoring and optimizing the purchase request process. Users can access real-time dashboards and reports that track key metrics such as the average processing time per request, the number of requests pending approval, and the supplier performance. Insights from these reports can be used to identify bottlenecks in the workflow, improve communication with suppliers, and optimize purchasing decisions.
Overall, the Power Platform solution proposed in this project offers significant benefits to the client company in terms of process reflection, accuracy, and data visibility. By streamlining the creation, assignment, and analysis of purchase requests, the client company can ensure timely and effective procurement of essential goods and services, ultimately leading to improved productivity and profitability.

CHAPTER 1. BUSINESS CASE
1.1 DESCRIPTION OF THE BUSINESS NEED
The year 2022 will go down in history as a year of significant change in the oil and gas industry. In response to the events that took place, which led to international tensions, the United States and the European Union imposed sanctions on Russia. This decision affected several companies, including Schlumberger, an oilfield service company with heavy reliance on Russian suppliers for their equipment parts.1
The sanction-induced disruption posed a significant challenge to Schlumberger. The company needed to find alternative suppliers quickly to keep its business running. The Russian department of Schlumberger understood that this meant developing a digital solution that would allow them to identify new equipment supplier parts and manage purchase requests in a streamlined and efficient manner.
The problem was that Schlumberger urgently needed to find alternative suppliers to continue its operations effectively. Finding new suppliers was a difficult and time-consuming task that required extensive research, communication, and evaluation amongst alternative suppliers. Furthermore, Schlumberger was required to make its transition to alternative suppliers without disruptions to its operations or supply chain.
Without a streamlined procurement process to manage these tasks, Schlumberger was faced with significant disruptions and mounting operational costs. Additionally, the company was at risk of losing out in a highly competitive oil and gas industry to other organizations that could effectively manage their procurement processes.
The procurement team took on the task of identifying alternative suppliers that would provide the same quality of equipment parts at competitive prices. This
required extensive research and communication with several suppliers, which was a time-consuming process. Additionally, without a streamlined procurement process, the procurement team was at risk of being overwhelmed with manual tracking and data management requirements brought about by the new suppliers.
